FAQs

Questions, answered plainly.

Everything academies and gyms usually ask before a demo — what DojoBeacon covers, how memberships and payments work, how onboarding runs, and how member information is handled. If your question is not here, ask it in the demo; you will get a straight answer there too.

Getting started

Before you begin

What DojoBeacon is, who it serves, and how a venue gets onto the platform.

What is DojoBeacon, and who is it for?

DojoBeacon is a connected management platform for martial arts academies — memberships, student records, class scheduling, attendance, progression, recurring payments, academy websites and reporting in one place. It is built for UK academies of all sizes, from single-programme clubs to multi-discipline schools.

Which martial arts disciplines can use the platform?

Brazilian Jiu-Jitsu, Judo, Karate, Taekwondo, Muay Thai, MMA and multi-discipline academies. Progression tracking adapts to your discipline — belts and stripes where they apply, levels or programme milestones where they do not.

How does onboarding and migration work?

Onboarding runs in three stages: understanding your academy and its current workflow, organising the setup (including help importing existing records where migration support is offered), and getting your team ready on the essential workflows. The arrangements for your academy are explained transparently before you begin.

Memberships & billing

Members and money

Member records, recurring payments, what happens when a payment fails, and how pricing is structured.

Can I manage memberships and student records in one place?

Yes. Each student has one connected record covering membership status, programme, contact details, attendance, progression and payment history, with support for organising members by programme, age group or training category, and workflows for freezes, cancellations and reactivations.

How do recurring membership payments work?

Memberships run on a recurring cycle with invoices and payment statuses visible in the platform. The exact payment arrangements for your academy are confirmed during your demo, based on the options appropriate for UK academies.

What happens when a payment fails?

The payment is flagged clearly as needing attention, a follow-up process begins, and the status stays visible until it is resolved — so nothing fails silently. Where managed billing support is part of your service, the DojoBeacon team can handle appropriate member follow-ups on your behalf. DojoBeacon does not guarantee recovery of any individual payment.

How is pricing structured?

Pricing is confirmed for your academy based on its size and the parts of the platform you need, quoted in GBP with inclusions and terms set out in writing. No figures are published because there is no honest one-size figure. Use the demo form to request pricing.

Classes, progress & enrolment

Training, progress and joining

Attendance and progression, joining online, and the website that sits in front of it all.

Does the platform support belt progression and attendance?

Yes. Members check in to classes, attendance lands on their record automatically, and instructors can track grading milestones, promotion history and notes against the same profile.

Can I manage online registrations and digital waivers?

Yes. New students can register online and complete the relevant digital waiver as part of enrolment, and the details land directly in their member record — no paper forms to type up afterwards.

Does DojoBeacon include an academy website?

An academy website is part of the connected picture: programme pages, timetable, membership options and enquiry or registration forms that feed directly into your member records. The website options for your academy — including what is covered — are confirmed in your demo.

Data & support

Help and information

The help available to your team, and how member information is looked after.

What support is available to UK academies?

Practical onboarding and ongoing support shaped around martial arts academies, from people who understand programmes, gradings and registers. The support arrangements included with your service are set out plainly before you sign, and covered in your demo.

How is personal information handled?

Member information is handled in line with UK data protection requirements. The specific data-handling arrangements for your academy, including retention and access, are covered in the Privacy Policy and discussed during onboarding.

A demo answers the questions a page cannot — using your timetable, your membership types and your venue's way of working.
