How It Works

One journey, six connected steps.

How DojoBeacon works is organised around the life of a member: one connected journey in six steps, from the first time they hear about you to the renewal you never have to chase. Here is that journey step by step, and the onboarding that gets your venue onto the platform.

01

Discover

It starts with someone looking for what you offer — a parent searching for a kids' martial arts class, a lifter tired of a soulless chain gym. Your website presents your programmes, classes and timetable clearly, drawn from the same schedule you actually run, so what they read is what they will get.

02

Enquire

They ask a question, request a trial or register interest. The enquiry lands inside the platform where your team works — attached to a person, not buried in an inbox — so follow-up is a task with an owner, not a hope.

03

Enrol

When they join, registration and the relevant digital waiver are completed online, and a single member record is created: membership, programme, contact and emergency details. No paper form, no retyping, nothing to lose between the desk and the spreadsheet.

04

Attend

They start showing up. Registers and check-ins take seconds at the door — a fundamentals class, a 6am HIIT session, a PT appointment — and every attendance lands on their record automatically, alongside their recurring payments.

05

Progress

Attendance becomes achievement: stripes and grading milestones for martial artists; levels, programme milestones and PT reviews for gym members. Coaches record progress on the same profile, so recognition happens on time and reviews rest on evidence.

06

Renew

Memberships renew on their recurring cycle, freezes and changes are handled on the record, and reporting quietly watches for the members whose attendance is fading — so renewal is a relationship you maintain, not a date you discover too late.

Getting started

How does onboarding work?

Stage one

Understand

We start with your venue as it is: your programmes and class types, your membership shapes, how enrolment and payments work today, and the parts that cause the most friction. The setup is planned around your real workflow — not a template you are expected to bend to.

Stage two

Set up

Your programmes, timetable, membership types and progression structures are organised in the platform. Where migration support is offered, help importing your existing member records is part of this stage — so you do not start from an empty system.

Stage three

Go live

Your team is got ready on the essential workflows — registers, records, billing checks — with practical onboarding shaped around martial arts academies and gyms. The arrangements for your venue are explained transparently before you begin, so there are no surprises about what is included.

Common questions

Questions about getting started

What does onboarding involve?

Three stages: Understand — we review your venue's programmes, memberships and current workflow; Set up — your timetable, membership types and progression structures are organised in the platform; Go live — your team is got ready on registers, records and billing checks before you begin.

Can my existing member records be imported?

Where migration support is offered, help importing your existing member records is part of the Set up stage, so you do not start from an empty system. The arrangements for your venue are explained transparently before you begin, with nothing about setup or timing promised until it is confirmed for you.

What happens after a member enrols?

They attend: registers and check-ins take seconds, and attendance lands on their record automatically. From there, progress is recorded on the same profile and memberships renew on their cycle — while reporting quietly watches for the attendance that starts to fade.
