Memberships & Member Records

Every member. One record.

Membership management in DojoBeacon means one connected record for every member of your academy or gym — membership status, programme, attendance, progression and payments in a single place. In most venues those details end up scattered: a name on a register, a payment in a spreadsheet, a grading note in a coach's phone. Here, whoever picks up the conversation has the full picture in front of them.

How it works in practice

How does a member record work in practice?

A record starts the moment someone enquires or registers — through your website, at the front desk, or from a trial class. From there it holds everything that person does with you: the programme or membership they are on, which classes they attend, the progress they make, and every payment on their account.

Day to day, that means ordinary jobs stop being detective work. A parent asks when their child's membership renews; a PT client wants to know how many sessions are left in their pack; a coach checks who in the Tuesday class is due a stripe. The answer is on the record, not in somebody's memory.

Records can be organised the way your venue thinks — by programme, age group or training category in an academy, or by membership type and training focus in a gym — so lists for a single class, squad or intake take seconds to pull together.

What's included

Membership admin without the patchwork

  • One connected profile per member. membership status, programme, contact details, attendance, progression and payment history together.
  • Membership lifecycle workflows. enquiries and trials through to active membership, with freezes, cancellations and reactivations handled as first-class states rather than notes in a margin.
  • Sensible organisation. group and filter members by programme, age group, training category or membership type.
  • Family and multi-member details. contact and emergency information kept with the record, so a parent's details sit alongside their children's profiles.
  • A record the whole team can trust. coaches, front desk and owners all work from the same information, updated once.

Common questions

Questions about member records

Can one record really hold everything about a member?

Yes. Each member's DojoBeacon record holds membership status, programme, contact details, attendance, progression and payment history together, so coaches, front desk and owners all work from the same information — updated once, visible everywhere it is needed.

What happens when a member freezes or cancels?

Freezes, cancellations and reactivations are handled as proper states on the record, not notes in a margin. A freeze can pause the member's billing cycle, a change of membership adjusts it, and a reactivation picks the record back up — with the history kept.

Can families be managed on connected records?

Yes. Contact and emergency information is kept with the record, so a parent's details sit alongside their children's profiles — useful at the front desk, and essential if an emergency contact is ever needed during a session.
